Collection notice – Green Leaves employees
This collection notice describes how we, Green Leaves Early Learning Centres Pty Ltd ACN 602 270 440 and its holding company or subsidiaries (“Green Leaves”), collect and handle personal information of Green Leaves employees for the purposes of managing your employment and our relationship with you.
The personal information Green Leaves collects about you includes:
- information about you provided during the recruitment process, including your name and contact details;
- identity documents, such as birth certificate and passport;
- additional information we need about the duties you can perform, including your driver’s licence and first aid and CPR qualifications;
- details in your employment contract, and changes to those details such as changes to position and salary updates;
- information required in relation to payroll (e.g. superannuation, tax file number and bank details);
- Facebook profile information, because this allows you to manage Green Leaves’ business Facebook accounts;
- records we create in the course of your employment, including:
– learning and development aspirations;
– records about training and performance reviews; and
– preferred ways of working via psychometric testing; - attendance on shifts (including times and locations, start and end of breaks);
- records you make in the course of your work (where this is personal information);
- information about your use of IT systems; and
- workers compensation claim details (where applicable);
Some of the information collected about you may be sensitive information, such as:
- biometric information (where you agree to provide us with vein patterns for vein scanning instead of using other timesheet mechanisms);
- health information (including vaccination and immunisation records) and information about any medications you take that relate to your work; and
- criminal history information and working with children checks.
We are required to collect some of this personal information in order to comply with the Education and Care Services National Law and National Regulations and the corresponding legislation in your state.
If you choose not to provide the information we need, then Green Leaves may not be able to employ you, or may have the right to terminate your employment.
Green Leaves uses your personal information for the primary purposes of:
- managing your employment, for example:
– issuing employment contracts;
– facilitating on-boarding procedures;
– communicating with you;
– monitoring your performance and facilitating your career progression; and
if applicable, managing WorkCover claims; and
- for records you create during work, delivering early education to children at Centres.
Green Leaves may also use your personal information to:
- enable you to access IT systems;
- enable multifactor authentication (where applicable);
- provide you with IT support;
- monitor your use of IT systems;
- enable administration of the relevant Green Leaves Facebook page; and
- provide employee discounts and rewards and recognitions via Reward Gateway;
- meet requirements (e.g. police checks) imposed by Centrelink in relation to employees who have access to Centrelink’s CCS IT system (PRODA).
Green Leaves may disclose your personal information in the following circumstances:
- to parents/guardians of children attending the Centre so they know who the educator of their child is;
- to Green Leaves’ Facebook group members;
- to website visitors and the public, where you have given your consent to photos of you being used on our website and in marketing;
- to registered training organisations where you are a trainee and where the information is relevant to managing your placement;
- to Centrelink for the purpose of arranging access to PRODA (where applicable);
- to regulators verifying Green Leaves’ compliance with record keeping requirements in relation to employees;
- to WorkCover where the information is relevant to your WorkCover claim; and
- to law enforcement agencies at their request.
Green Leaves uses some IT systems in which some information is stored overseas. The countries in which information may be stored include the United States, Canada, South America, Denmark, Ireland, Singapore and Germany.
Otherwise, Green Leaves does not routinely disclose personal information to recipients located outside Australia.
